Membership & Communications Coordinator

SCOPE:

 

The Membership & Communications Coordinator assists with the Club’s membership maintenance and growth, marketing programs that are developed, website maintenance, ongoing communications to the members, developing club events and the coordination of promotional material.  The position oversees all membership matters including recruiting new members, selling, promoting, conducting tours & orientations, and assists current Members with requests for changes in their membership status. This position is responsible for preparing the quarterly newsletter, maintaining the Club website, issuing Club communications, overseeing marketing of all Club events.

RESPONSIBILITIES:

This position reports to the General Manger and works closely with senior staff

COMMUNICATIONS:

  • Create, develop, design, produce and distribute all internal communications including flyers and membership email blasts
  • Maintain and update the club’s website with event announcements, photos, news articles, newsletters, etc.
  • Consistent and engaging postings and conversations on social media outlets, including Facebook, Twitter, LinkedIn, and YouTube, as appropriate
  • Research, interview and write articles, newsletters, and other appropriate media
  • Maintain and produce printed communications including Bylaws, Directories, Rules, Brochures, etc.

MEMBERSHIP:

  • Provides prospective members with membership documentation and provide club tours for prospective members
  • As directed by the General Manager and Membership Committee, oversees all membership approval procedures (distributing proposal forms, verifying sponsors, making sure application forms are completed correctly, acts as a liaison between prospective members and sponsors, acts as a liaison between prospective members and Membership Committee)
  • Maintains list of affiliate clubs and updates accordingly
  • Processes new members, member transfers, resignations etc.
  • Responsible for maintaining accurate membership reports
  • Responsible for conducting orientation sessions with new members to familiarize them with the club’s features, staff members, benefits, and policies and to present them with their membership credentials
  • Prepare and distribute various letters to members eg. Welcome letters to acknowledging new members, leaves, resignations, change of status etc
  • Maintains the online member profile (on website for Roster and access)
  • Distributes reports to supervisors of all approved members and affiliate clubs after each Board meeting

 

CLUB EVENTS:

 

  • Attend appropriate club events in order to meet members, their families and their guests
  • Taking photos at Club Events, for inclusion in publications and on-line communications

OTHER (with input of General Manager)

 

  • Attends Board of Directors meeting and prepares the agenda, package, and minutes
  • With the Controller and Auditors, prepares the Annual Report and all other materials pertaining to the AGM and distributes to the Members
  • Coordinates the registration and activities for the Annual General Meeting and any General or Extraordinary General Meeting as may be required
  • Records the minutes of the AGM and distributes to the BOD
  • Sits on various committee meetings and responsible for preparing agenda, and minutes
  • Any other duties assigned
