CRM & Email Marketing Coordinator

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for a CRM & Email Marketing Coordinator to join the Marketing Technology team in the Client Relations & Marketing department. The CRM & Email Marketing Coordinator is responsible for the implementation, maintenance and application of various marketing technologies and solutions to support the Firm’s marketing and business development efforts. The Marketing Technology team has overall responsibility for advancing the Firm’s marketing technology stack, managing data and reporting capabilities across the stack, and contributing to the continuous improvement of marketing operations.

Primary responsibilities include:

Email Marketing Campaigns (60%)

  • Coordinate the deployment of email marketing campaigns, which includes but is not limited to seminar/event invitations and bulletins/thought leadership
  • Work collaboratively with the Business Development and Marketing Communications teams to test and deploy campaigns on deadline and follow our best practices/processes
  • Create campaigns that adhere to our standard templates and the Firm’s brand guidelines
  • Apply automation routines as required
  • Find creative solutions to technical problems and tweak HTML code as needed
  • Carry out data cleansing across the system by applying best practices and taxonomy as directed
  • Monitor the shared inbox and respond to requests/questions from internal stakeholders
  • Use a workflow and team collaboration tool for scheduling deployments
  • Contribute to the documentation of processes and checklists

CRM Database (30%)

  • Carry out regular, operational data management activities, including deduplications, data standardization, cleansing, enrichment and researching clients/people for completeness
  • Ensure data format consistency and integrity across the system
  • Process undeliverable emails, bounce-backs and new subscribers
  • Support the Business Development and Marketing Communications teams with the creation and maintenance of marketing distribution lists, coordinate additional sends and record attendee activity
  • Ensure compliance with CASL and GDPR
  • Monitor the shared inbox and respond to requests/questions from internal stakeholders
  • Contribute to the documentation of processes and checklists

Training and Technical Support (5%)

  • Provide training to the Business Development and Marketing Communications teams
  • Provide tier-one support to lawyers and assistants with “how to” and best practices
  • Contribute to training materials and identify training gaps

Reporting (5%)

  • Generate reports for internal stakeholders (PDF, Excel)
  • Find creative ways to identify, extract, merge and filter data
  • Use Microsoft Excel Power BI to create reports and charts by manipulating data, creating pivot tables and using formulas

Technology Evaluation

  • Participate in the evaluation of new technology

Qualifications

Education/Experience:

  • Post-secondary school diploma and/or degree, preferably in business or marketing
  • Minimum of one to three years of experience working with CRM/marketing technology, preferably in professional services
  • Experience with CRM/ERM/DQM systems is an asset
  • Bilingualism is an asset
  • Familiarity with CASL/GDPR is an asset

Skills/Abilities:

  • Advanced skills in using Excel (e.g., pivot tables, formulas, charts)
  • Experience querying data from different marketing systems and building reports using data reporting tools (such as Microsoft Power BI)
  • Experience in using workflow collaboration or project management tools (such as Wrike)
  • Experience working remotely and using Microsoft Teams
  • Demonstrated experience in staying current with the latest trends in marketing technology and ability to learn new technologies quickly
  • Client-service oriented
  • Excellent communication and business writing skills
  • Strong business acumen
  • Strong attention to detail is business critical
  • Ability to work effectively in a team and autonomously when needed
  • Ability to manage multiple tasks in a fast-paced environment with short deadlines
  • Ability to pivot projects as directed
  • Willingness to work evenings and weekends as directed (paid overtime)
  • Strong organizational and problem-solving skills
  • Creative problem-solving skills using available technologies
