Salary: $28.00 per hour

Working Hours: 30 hours per week, 52 weeks per year

Work experience requirements:

  • Minimum 1 years’ work experience in administrative support in Canadian education institution (Required)

Other requirements:​​​​​​​
I. Familiar with overall daily office administration tasks of education institutions in Canada
II. Excellent customer service skills including superior written and verbal communication and experience cultivating relationships and connecting with a diverse range of people; strong understanding of tact, diplomacy, empathy and confidentiality
III. Strong technical skills and database experience; Proficient in Google Suite and Microsoft Office including Excel, Word, Outlook, Spreadsheet, PowerPoint. Familiar with both Windows's & MacOS; Adept with spreadsheets, including creation of formulas and manipulation of data; Advanced office software skills such as: Pages, Keynote, Canva, Numbers
IV.Proficient in editing and application of social media, such as Facebook, Twitter and Instagram, Douyin, Xiaohongshu, Wechat etc. 
V. Ability to help streamline processes using available technology
VI. Experienced in scheduling and coordinating meetings, events and travel; Recording and preparing minutes and agendas
VII. Excellent problem-solving skills; a critical thinker with solid analytical skills, accuracy and attention to detail.
VIII. Demonstrated ability to organize, assign and supervise the work of secretarial staff
IX. Ability to work independently interfacing with highly skilled professionals in a team environment and provide leadership in work activities
X. Able to work under pressure with multi tasks and tight deadline, as well as good priorities skill.


Responsibilities

  • Oversee the administration and daily operations of the Office administrative procedures
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Provide accurate, organized, and efficient administrative support and assist with operational record keeping
  • Collect and track data, research information, compiling on a form, documentation, analysis
  • Responsible for maintaining logs of activities and completed work
  • Clerical duties including processing and administrative tasks
  • Manage living webcast(i.e. Zoom) and social media accounts (i.e. Wechat) for delivering updated even schedules
  • Gather feedback and solve any issues reported by clients
  • Assist president and managers in preparation of operating budget and maintain inventory and budgetary controls
  • Review, evaluate and implement new administrative procedures
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Interpret and analyze news and policies of related field, compose articles in a timely manner
  • Effective research and abstract key information from various sources
  • Maintaining corporation’s social media account operations in all platforms such as Douyin, Xiaohongshu, Facebook, Twitter and Instagram etc. 
  • Ensure all administration operations of office comply with privacy, quality and other requirements.
