Marketing & Event Coordinator

DUTIES:
In accordance with corporate guidelines, develops, updates and upon approval implements marketing strategies and communications materials for the ARC event and research space such as webpage content, event booking procedures, directions and other instructions for users; makes recommendations for fee structures; prepares and makes presentations to actively promote the use of the facility.

Arranges and delivers facility tours to a variety of individuals and groups such as board members, municipal representatives, international delegations, research and academic community, partner organizations and school groups; liaises with tour group representatives and prepares and revises tour scripts appropriate to needs; presents educational programs and works with educational outreach coordinator in assessing and developing educational materials.

Coordinates and provides support for events held at the facility; establishes rental contracts and ensures that required liquor licenses are obtained; ensures for room setup, arrival of caterers, and that back-up resources are available as required; resolves problems that arise; monitors progress of events for changes to agendas and schedules; provides follow-up as needed; liaises with clients to provide required support on workshop planning and development.

Identifies, investigates and develops opportunities for use of the facility by the business and research community; attends related meetings, events and conferences to market and facilitate use of the facility; monitors facility booking calendar; collects, assembles, analyzes and summarizes usage data and generates reports; in conjunction with the legal department, drafts contracts for review and discussion with a superior; initiates discussion and/or negotiation with potential clients; monitors contracts; resolves conflicts and takes corrective action within defined limits.

Establishes and maintains liaison with a wide variety of contacts within the research, scientific and business community with respect to research space usage; provides information and assistance; explains and interprets rules, regulations and policy.

Prepares and maintains files and records related to the work; prepares budget estimates for marketing and event management and monitors expenditures.

As required, performs routine building administration, maintenance and operational work and oversees non-technical work performed by contractors.

Performs related work as required.


REQUIREMENTS:

Completion of a two-year diploma program in marketing, communications or a related discipline plus sound related experience; or an equivalent combination of training and experience.

Considerable knowledge of the marketing and communications principles, practices, methods and techniques applicable to the work.

Considerable knowledge of the methods and procedures applicable to coordinating and providing support for facility events and research space usage.

Sound knowledge of the purpose and objectives of the ARC.

Ability to draft contracts, to monitor and ensure adherence to same and to effectively deal with contacts regarding problems.

Ability to identify, investigate and develop research, business and event opportunities for use of the research and event space.

Ability to develop marketing strategies and implement same upon approval.

Ability to communicate effectively orally and in writing, to develop various marketing and promotional materials and to make presentations related to the work.

Ability to coordinate and provide assistance, information and support for events and research space usage and to handle problems which arise.

Ability to establish and maintain effective working relationships with a variety of individuals and groups.

Ability to prepare and maintain a variety of records and reports related to the work, provide budget estimates, and monitor expenditures.

Ability to perform routine building administration and maintenance work as required.

Driver’s License for the Province of British Columbia.
